Travel Assistance

US VISA ASSISTANCE: With the help of some prominent US personnel, the organizing committee will render visa assistance to all participants requiring entry visas to the United States pending if the visiting applicants return their US non-Immigrant visa application forms along with the confirmation of their hotel reservation booked in Ghana as evidence to prove that participants will proceed to Ghana after the event in the US. In this case, All participants are advised to book for their hotel reservation for the second conference in Ghana. The confirmation of the hotel reservation should be returned by fax along with the visa forms, which will be sent to participants by the US Bureau of Immigrant Affairs through our US Department of State on or before the date that will be scheduled by the US Department of State. We will process your visas from the US Department of State by our US Immigration Lawyers who have all fought to see the reality of this events, on receipt of your forms together with the confirmation of your hotel reservation booked in Ghana confirming your leaving the US and attending the African conference. The confirmation of the authorized visas and the official invitation will be faxed to the consular section at the US Embassy in your country or the nearest US Embassy to your country. The same copies will also be faxed to participants before they visit the US Embassy for the issuance of the visa seals to them. Participants will only appear at the embassy for the issuance of the visa seals in their passports. They must appear at the Embassy with the correct information forwarded to us during the processing of their documents. AIRPORT SHUTTLE: Delegates will be met on arrival at the Tulsa International Airport in the US and will be escorted to their assigned hotels. Buses will be available for transport to conference and hotels. Please be informed that delegates will thoroughly be searched at their arrival, and at the conference entry points. All delegates are advised in advance not to be in possession of dangerous weapons, sharp objects and metals, as they will be considered as terrorists both in the US and in Ghana. The US special security force will be assigned to the conference venues both in the US in Ghana. PARTICIPANTS FLIGHT TICKETS: Our independent donors have also made available sponsorship for participant's flights tickets routing from participant's home country to the US, from US to Ghana and from Ghana to Participants home country. All participants will receive the all round tickets at the airline sales office in their country or at the sales office closer to their country after the processing of their documents. Iinternational flights such as, Air France, British Airways and Klm Airlines and other airlines have been chosen for the trips, in some countries where Air France do not operate, alternative Air Line will be provided for them. Many delegates arriving in US and Ghana from abroad will be required to complete customs and immigration formalities at the initial point of entry. Delegate transportation back to International Airport at the end of the conference will be provided by the Secretariat. SPECIAL INFORMATION: At the end of the International Youth conference on terrorism in the US, all participants will go for the second conference to be held in Ghana. Participants will be taken to the airport to continue their trips to Ghana. ACCOMMODATIONS IN THE US: Delegates attending the four days "International Youth Conference" will be housed in a number of hotels in the US. Accommodations have been arranged in groups for all invited groups. Our independent donors have made available sponsorships for the accommodation and feeding in the US. ACCOMMODATION IN ACCRA CITY GHANA) The conference organizers have selected a Standard Hotels with cheaper accommodations rates and good facilities. Arrangements for the booking of rooms in Ghana are by direct communication with the hotel management. Participants will need to contact the conference Organizers for contact information on the selected hotel in Ghana, and for information on the agreement reached by the International Youth Conference organizing committee and the hotel management. No other hotel confirmation will be accepted for the processing of the US Visas apart from the confirmation issued by the selected hotel. Therefore participants are advised to book their hotel on time and forward the confirmation along with the conference registration forms for advance processing of the US visas. PARTICIPATION OF DELEGATES (BY GROUP INVITATION ONLY) Participation is only by official recommendation from the conference organizers. Only organizations/group will be allowed to participate from a country and the group should consist of only six persons. Two groups may be considered to participate from a country. One of the groups will be used to replace any of the country that will not be able to participate. PRE-REGISTRATION Registration for both conferences is just by one process. All groups must pre-register by faxing to the Organizer in the US, names, passport numbers and country of origin and resident of the participating delegates. When faxing their pre-registration, they should include the group's official e-mail address, fax and telephone numbers. Pre-registration can also be done by e-mail. FULL REGISTRATION A group is not fully registered until their conference forms are received by fax or mail in the US. DEADLINE: Please return by fax/mail all filled forms four days before the conference date.All delegates will be issued photo identification badges that must be shown by participants for both conference venues. This will be issued only to fully registered delegates. SIMULTANEOUS INTERPRETATION AND WORKING DOCUMENTS: Simultaneous interpretation will be provided in English Language, French, Spanish, Russian, Arabic and Chinese. TELEPHONE AND FAX SERVICES: International direct dialing is available in all hotel guest rooms, with charges added to the guest's account. Calling cards for international telephone calls are available for sale at a number of convenience and other shops and drug stores. During the events, telephone and fax services will also be available at the Delegates' Business Centre. DELEGATES' BUSINESS CENTRE: A number of services will be available to delegates at the Delegates' Business Centre, located at various meeting locations. These services will include: photocopying, faxing, e-mail, Internet access, message drop-off and pick-up, and changes to travel arrangements. MEDICAL CARE AND HEALTH SERVICES: A nursing station will be available to delegates during meeting hours. Delegates may wish to check with their local health offices for specific recommendations. Delegates are responsible for paying their own emergency medical, surgical, dental and hospital expenses while in Ghana and in the US to medical staff at time of treatment unless prior notice is made in that regard. CURRENCY: Ghana is an English colony using Cedis as their local currency. The current exchange rate currently varies all the time as the Euro and US Dollars keep on devaluating. The Euro and U.S. currency is accepted in Ghana establishments, however it is recommended that you exchange your currency at a bank or financial institution, or use a banking machine, to obtain the best exchange rate.
